Cover Engineer Site Agreement
Effective Date: Monday 2nd March 2026

This Site Agreement applies to all site-side users, FM providers, managing agents, clients, building owners, occupiers, and other organisations using Cover Engineer to source engineering cover.

1. Purpose

Cover Engineer enables site-side users to post cover shifts, review applicants, and manage short-term or planned engineering cover requirements.

2. Platform role

Building Services Ai Ltd provides Cover Engineer as a technology platform.

Unless expressly agreed otherwise in writing, Building Services Ai Ltd is not:

  • the employer of any engineer;

  • the manager or supervisor of site works;

  • a guarantor of attendance, suitability, or quality;

  • responsible for site safety management;

  • a recruitment agency or employment business.

3. Account authority

By creating or using a site-side account, you confirm that:

  • you are authorised to act for the relevant organisation;

  • the details you provide are accurate and up to date; and

  • only authorised personnel will use the account.

4. Posting shifts

When posting a shift, you must provide accurate and complete information, including where relevant:

  • site location;

  • shift date and time;

  • expected duration;

  • rate or charging basis;

  • required trade, experience, or qualifications;

  • access requirements;

  • site risks, conditions, and other relevant details.

You are responsible for ensuring all posted information is lawful, fair, accurate, and not misleading.

5. Selection of engineers

You are solely responsible for deciding whether to shortlist, select, or engage any engineer.

Any profile, review, rating, qualification information, or document displayed through the platform is provided for convenience only and is not a guarantee of suitability, safety, or competence.

6. Site responsibilities

You are responsible for:

  • site safety;

  • inductions;

  • supervision;

  • access arrangements;

  • permits, RAMS, and local procedures where required;

  • ensuring the work requested is lawful and safe;

  • compliance with health and safety law and any site-specific obligations.

7. Cancellations and changes

You must notify the relevant engineer and the platform promptly if:

  • a shift is cancelled;

  • times or scope change materially;

  • access is unavailable; or

  • any key information changes.

Frequent cancellations or misuse of postings may affect your account status.

8. Fees and invoicing

You agree to pay all applicable fees for use of Cover Engineer, including any annual, subscription, site, booking, payroll, or related charges communicated to you.

Unless otherwise agreed in writing:

  • invoices must be paid within 14 days;

  • VAT is payable where applicable;

  • overdue sums may incur interest and reasonable recovery costs.

9. Timesheet approval

You must review and approve or query timesheets honestly and promptly.

Failure to respond within any stated approval period may result in timesheets being treated as approved where that process is stated in the booking flow or invoice terms.

10. Employment and tax

You are responsible for your own legal obligations relating to supervision, engagement structure, site management, health and safety, and tax treatment, except to the extent specific payroll administration is handled by an identified third party.

11. Restrictions

You must not:

  • post fake or misleading shifts;

  • discriminate unlawfully;

  • misuse engineer data;

  • submit false disputes;

  • use the platform in bad faith or for unlawful purposes.

12. Reviews and feedback

Any review or rating you leave must be fair, genuine, and based on actual experience.

We may remove reviews that are abusive, retaliatory, discriminatory, false, or inappropriate.

13. Confidentiality

You must keep confidential any non-public engineer information and any platform or commercial information accessed through Cover Engineer. Personal data must only be used for genuine operational and booking purposes.

14. Liability

Nothing in this agreement limits or excludes liability that cannot legally be excluded.

Subject to that, Building Services Ai Ltd will not be liable for:

  • non-attendance, lateness, misconduct, or poor performance by engineers;

  • any site incident, injury, loss, or compliance failure under your control;

  • indirect or consequential loss;

  • loss of revenue, profits, contracts, or business interruption.

Our total aggregate liability shall not exceed the fees paid by you to us in the 12 months before the event giving rise to the claim.

15. Indemnity

You agree to indemnify Building Services Ai Ltd against claims, losses, liabilities, damages, fines, and costs arising from:

  • unsafe site conditions;

  • inaccurate shift postings;

  • misuse of engineer data;

  • breach of law;

  • non-payment of valid fees;

  • your misuse of the platform.

16. Suspension and termination

We may suspend, restrict, or terminate your account for non-payment, misuse, unlawful conduct, security concerns, or breach of this agreement.

17. Changes to this agreement

We may update this Site Agreement from time to time by publishing an updated version on https://Cover.Engineer.

18. Governing law

This agreement is governed by the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction.
